SRCF Access — Instructions for Staff Needing a Permanent SLAC Badge
Step 1: Initiate a Request
- Contact Darren Travis, Brian Hudspeth, or Toan Cao with information about your role and the nature of your ongoing business at SRCF. You will need to provide your SUID number.
- As Research Computing’s primary SLAC contact person, Darren will submit a SLAC request for permanent access on your behalf. Within a few days, Darren will provide — or direct you to — your six-digit SLAC System ID number (“SLAC SID”) and let you know you can proceed with the steps shown below.
Step 2: Create a SLAC Training Account
- Access the SLAC Web Training Portal here: SLAC Training Portal. Log-in using your six digit SLAC SID that Darren Travis previously forwarded to you.
- On first logging in, you will be asked to create a new password. Consider using a Password Manager to keep a record of your training site password. You will need this password to renew your badge in the future. If you ever forget your Training Portal password, contact SLAC training at slac-training@slac.stanford.edu to ask for a reset.
Step 3: Complete Required SLAC Training
- Log in to the SLAC Web Training Portal.
- Search for Course 219 - ES&H Orientation Training.
- Follow the instructions on the course information page to take the course. At the end of the course, you’ll be given an opportunity to print a course-completion certificate or save it as a PDF (suggested).
- After you close the course window, you’ll arrive on a page confirming that you have completed the course. This information will be sent to SLAC Security.
Step 4: SLAC Form A
- Download the SLAC Dosimeter / ID Request Form A PDF (slac_form_a.pdf). You will need to complete the following parts of the form:
- Section 1: Fill in this section, using your work mailing address. Your mail stop is your Stanford or SHC mail code. For your Stanford mail code, check StanfordWho or the Mailcodes web site. Select ESHO (219) training.
- Section 2: Select "I am applying for my first SLAC identification badge.".
- Section 3: Skip this section.
- Section 4: Skip this section.
- Once you have completed sections 1 through 4, print the form (both pages), then sign and date Section 5. Scan the signed form (both pages) to PDF.
Step 5: SRCF Access Policies and Form
- Read the SRCF Access policies page.
- Download and print the PDF form from that page.
- Complete the form, take a picture of it (or scan it), and save it as a PDF file.
Step 5: Submit all Paperwork and Pick Up Your Badge
If you do not have your Stanford ID card yet, pick it up from the ID Card Office. Or, set up a Mobile Key on your phone.
Email the completed SLAC Form A (from Step 4) and SRCF form (from Step 5) to Darren Travis. As part of your email to Darren, provide a few weekdays when you have the time available to pick up your badge. You should budget one hour of your time, plus travel time to & from SLAC.
On the day you & Darren agree, Darren will complete the SLAC Form A and deliver it to SLAC Security. You must pick up your badge on that day.
Besides the Form A that Darren delivers to SLAC Security, US Citizens will need to bring their REAL ID driver's license, or one of the other acceptable documents listed on the REAL ID at SLAC web page. Foreign Nationals will need their permanent resident card or passport, and paper forms of all additional documents (including a printout of your CV).
SLAC's main entrance is at 2575 Sand Hill Road, in Menlo Park, zip code 94025. Using the SLAC Visitor Map, here are the points of interest that you will visit:
- The main entrance and security checkpoint (building 83) is at square B 31.
- The badging office is in the Visitor User Employee (VUE) Center, which is on the first floor of the Science and User Support Building (SUSB), building 53, at square C 32.
- The recreation center is building 55, at square E 37.
- There are two interior gates, which can be opened with your SLAC badge: The "Accelerator Gate" is marked on the map as building 85, at square F 31. The "LCLS Gate" is at square H 37.
- The SRCF is building 54, at square G 33.
- The Alpine Road entrance, for SLAC badge-holders only, is at square I 40. You'll be able to use this entrance for future visits!
The dashed lines show the roads you can use.
To get to the badging office, drive to the main entrance, and use the visitor lane to stop at the security checkpoint. Show your driver's license, and say you are going to the VUE center to pick up your badge. Then, drive to building 53, and park in one of the temporary spaces.
When you go through the main doors, go down the hall on the left. The badging office will be on the right (there is a sign above the door). They will have the completed Form A. The badging office will check your ID, scan/copy/collect your additional documents (for Foreign Nationals), take your photograph, and issue your badge.
As of November 2024, the Badging Office is open 6AM to 5PM weekdays. The Badging office is closed between 12:30PM and 1:00 PM for lunch. SLAC and Stanford have the same holidays, so the badging office is closed on University holidays (including Winter Closure). For the most up-to-date information, along with phone numbers, check the VUE Center welcome page. Foreign Nationals must visit between 9AM and 4:30PM, when the International Services Office is open.
If you are planning on using the recreation center, you should now drive over to building 55 and turn in your signed waiver form. As of May 2022, the ARCAS is staffed from 6AM to 7PM on weekdays. They will process your form and grant you access to the building. ARCAS access uses your SLAC badge. For the most up-to-date information, along with phone numbers, check the Stanford Rec ARCAS page.
Finally, drive to SRCF, building 54. If you are coming from the badging office, you will pass through the Accelerator Gate; if you are coming from the ARCAS, you will pass through the LCLS Gate. In both cases, you will use your newly-issued SLAC badge to open the gate. The gates are unmanned, but are monitored, so always stop and use your badge, even if the gate is open, unless SLAC Security tells you to do something different.
When you arrive at the SRCF, remember to use your Stanford ID card for SRCF building access.
Once you are able to successfully badge in to the SRCF and the server floor, you are done! At least, until it's time to renew your badge…
REMEMBER:
Two levels of access are needed to routinely work in the SRCF building. A SLAC badge is needed to access the physical site where the SRCF is located. Once at the site, a Stanford ID card is needed for access to and within the building.
